CoachWorkstream is software that coaches use to run their business: client records, scheduling, messaging, forms, payments and automations. This policy explains what information we handle, why, and the choices you have. CoachWorkstream is operated by DanCueDigital.

Who this covers

Our customers are coaches and their teams (“workspaces”). Their clients and leads interact with CoachWorkstream through booking pages, forms, email, text messages and connected channels like Instagram. For client and lead information, the coach is in charge of it and decides how it is used; we process it on the coach’s behalf.

Information we collect

  • Account details for coaches and team members: name, email, password (stored hashed) and billing details handled by Stripe.
  • Client and lead details a workspace stores or collects: name, email, phone, notes, tags, appointments, form answers and payment records.
  • Messages sent and received through the platform: email, text messages and Instagram direct messages and comments.
  • Usage and technical data: pages visited on booking and landing pages, device and browser information, and logs we use to keep the service secure.

Instagram data

When a coach connects an Instagram professional account, we use Meta’s Instagram API to receive and send direct messages, receive comments on the coach’s posts and reply to them, and read the account’s basic profile (username and account id). For people who message or comment, we receive their Instagram username, their Instagram-scoped id and the content of their messages and comments.

We use this only to show those conversations in the coach’s inbox and to run the replies and automations the coach sets up. We do not sell it, use it for advertising, or share it with anyone other than the coach’s workspace and the service providers listed below. A coach can disconnect Instagram at any time from Connected apps, which stops all access immediately.

How we use information

  • To provide the service: store records, send the messages and reminders a workspace sets up, and run its automations.
  • To keep the service secure, prevent abuse and comply with the law.
  • To bill workspaces and send account and service notices.

Service providers

We use providers to run the platform, including hosting, Amazon SES for email, Telnyx for text messages, Stripe for payments and Meta for Instagram messaging. They process information only to provide their service to us.

Retention and deletion

We keep workspace data while the workspace is active. A coach can delete clients, conversations or the whole workspace. We remove deleted data from our systems within 30 days, except where the law requires us to keep it. See our data deletion instructions.

Your choices

If you are a client or lead of a coach who uses CoachWorkstream, contact that coach to access, correct or delete your information, or email us and we will pass your request on. You can opt out of text messages by replying STOP and out of marketing emails with the unsubscribe link.
